Pivotal to the efficient running of the business you will act as
the go-to person that organises the studio and makes the day to day
requirements happen. This is an integral role and therefore you
must have a can do attitude, a flexible hands on approach and be
ready to roll your sleeves up and help out in any area that's
needed.
You will need to be an effective communicator, both written and
verbal, and be able to work with both our internal team as well as
with our clients and suppliers. The ability to work well under
pressure and multi-task is important, as are good computer skills,
particularly in MS Office. Interest in digital media, and
experience working in a creative environment, would be useful
though not essential.
Key Responsibilities:
Studio Operations and Administration
- Running the studio's day-to-day operations to create an
efficient and enjoyable environment conducive to great teamwork
(including hospitality, studio supplies and purchases and general
facilities management)
- Serve as "front of house" and interface directly with visiting
clients and guests
- Coordination and booking of events and travel
- Monitoring and renewal of company subscriptions and
accounts
- Management Petty Cash
- Answering the phone
- Provide PA support to company directors
Production Support
- Administration and set up of job bags and project invoicing
(using Synergist)
- Staff timesheet monitoring and reporting
- Account and Project Management administration
- Management our project management system Synergist, ensuring
all key data is kept up to date
Studio Environment and Culture
- Manage and organise studio interior design, work environment
and culture
- Ensure the studio meets statutory and regulatory requirements
including Health & Safety and utilities
- Management of studio infrastructure (hardware and software),
equipment and furnishings
- Help keep studio and meeting room tidy, well equipped and
organised
Personnel / HR Administration
- Monitoring of staff holidays, sickness and absence
- Coordination of staff reviews and welfare
- Administration of freelance and staff contracts
- Recruitment support across both permanent and freelance
staff
